Job notes and the service checklist
By the end of this article you’ll know where a job’s instructions live on your phone, how to translate them, and how to work a service’s checklist to the end.
Two things on the job page tell you how the job should go. Notes are what the office wrote for this job. The checklist under each service is the steps your company wants done, in order. You read the first and work the second.
Notes
The Notes card shows the office’s notes for this job — gate codes, where the keys are, what the customer asked for. It appears only when there are notes, and it’s read-only on the phone: if something’s wrong or missing, call the office. Nothing you type in the field becomes a note.
If the note is in Spanish:
- Tap Translate to English under the note.
- The translated text takes its place. Show original flips back; Show translation flips forward again.
- A cached badge means the phone had this translation already. Translation unavailable means it needs signal and there isn’t any — the original stays on screen.
Work the checklist
If the office has set steps up for a service, they sit right under its line in the Services card, grouped under headings when the office grouped them.
- Do a step, then tap the empty circle beside it. The step is struck through with a green check.
- Can’t do a step? Tap Skip beside it. Skip this step opens with the step’s name and a Reason box.
- Write what happened — a few words, at least three characters — and tap Skip. The step is grayed with Skipped: no hose on site under it.
- If a whole stretch of steps can’t be done, tap Skip remaining (4)… at the bottom of that service. Skip the remaining steps asks for one reason and applies it to every pending step on the line.
Every check and every skip is saved on your phone the moment you tap and sent on the next sync — no signal needed. The sheet’s note says it plainly: The office sees what was skipped and why.
No un-check
A step that’s done or skipped stays that way on the phone. If you tapped the wrong one, tell the office — they can reset it from their side, and the reset reaches your phone on the next sync.
The checklist and Complete Job
Your company chooses whether the checklist gates completion. When it does, Complete Job is grayed while anything is still pending, with Check off or skip 2 steps before completing this job. underneath. Clear the list and the button comes back.
If the office turned that rule on after your phone last synced, the button may let you complete and the office then refuses it. The job goes back to In Progress, and Needs review explains: The office requires every step done or skipped before a job completes — 2 steps were still pending, so this job was not completed. Finish the checklist and complete it again. Do exactly that.
Who can check steps
The whole crew. A helper can check and skip steps just like the lead; only completing the job itself is the lead’s.
Good to know
- The steps are the ones on the job when your phone last synced. If the office removes a step you’ve already checked, Needs review notes that your check didn’t apply — nothing else changes.
- Reasons are free text up to 500 characters. Short and specific beats long.
- On a completed or canceled job the checklist is still shown, but nothing on it can be changed.
- A note that mentions a change to the job — a different time, an extra service — is just a note. Check the appointment and the services lines for what the office actually booked.
