The calendar shows the wrong time
By the end of this article you will know which clock each part of the app reads, and which setting to correct when they disagree.
Symptoms
- A job you booked for 10:00 shows at 8:00 — or 13:00 — on the Job Calendar.
- The customer’s confirmation text names a different hour from the one on the calendar.
- A technician’s phone shows the appointment at another time than the office does.
- Every job moved by an hour on the same day.
- The week starts on the wrong day, or days you are open are shaded as closed.
Likely causes
There are two clocks, and they are meant to agree:
- The computer’s own time zone. The Job Calendar and the job form show every time in the time zone of the computer or browser you are using. A laptop set to another zone — travel, a remote office, a wrong setting after a reinstall — shifts every block on the calendar, while the jobs themselves are unchanged.
- The business time zone. Everything the app writes on your behalf — customer texts and emails, the technician’s phone, online booking slots, reports — reads the Timezone under Regional settings on Settings → Company (see Business settings). It starts as the time zone of the browser that registered the business, so a business set up from elsewhere can carry the wrong one from day one.
When the two differ, the calendar disagrees with the texts and the phone by exactly the difference between the zones. The everyday case is a laptop on the wrong zone; the rarer one is a wrong business zone, which shows up as a customer being told a different hour than the one you booked.
- Daylight saving. Both clocks follow it on their own. A block that moved by an hour overnight in spring or autumn is the display catching up, not the job.
- Week and closures. The first day of the week and the shaded days come from the Business Hours tab, not from a clock.
What to do
- Open a job and compare its Appointment with the customer’s confirmation text, or with what the technician’s phone shows. If the calendar is the odd one out, the computer’s zone is wrong; if the text and the phone are, the business zone is.
- For the computer: correct the time zone in the operating system’s date and time settings, then reload the back office. The blocks move to where the jobs really are; nothing needs re-saving.
- For the business: open Settings → Company, find Regional settings on the Company Info tab, pick the right Timezone and click Save Settings. New texts and emails use it at once. Reminders already scheduled were placed by the time of the appointment itself, so they still fire at the right moment.
- Check the jobs booked while the zone was wrong: their times were saved as you saw them on screen, so a job booked at “10:00” on a laptop that was an hour off is really at 9:00 or 11:00. Open the calendar with the correct zone and drag any that are wrong to the right time — the customer’s reminders follow.
- Wrong first day of the week or wrong closed days? Settings → Company → Business Hours: Week starts on, and the days marked closed.
Good to know
- One business, one zone. A business working across two zones books everything in the one set here; a technician in the other zone sees the appointment in the business zone on the phone, on purpose, so the office and the field never dispute a time.
- Reports read the business zone. A day’s revenue, the payroll week and the accounting date are all decided in it, whatever the computer says.
- Customers see their own clock on the booking page — the slots are computed in your zone and shown in theirs. For a local customer the two are the same.
- Who. Changing the business time zone needs the Admin role.
