Create a quote on site

By the end of this article you’ll have given a customer a priced offer from your phone — a quote they can accept by email, or sign on your screen — without booking anything yet.

A quote is a price; nothing goes on the schedule until the customer says yes. If they’re ready to book right now, see Create a job directly (no quote) — it’s the same screen with a different ending.

Create the quote

  1. On Work, tap the + button, then New quote. The screen is titled New Quote and shows Step 1 of 7 at the top.
  2. Customer — search by name or phone and tap the match. Not in your company’s book yet? Tap New customer and add them right there. Without signal the list says Offline — limited to recent customers.
  3. Service address — the customer’s primary address is pre-selected; tap another if the work is somewhere else. Change customer takes you back a step and keeps everything else you’ve entered.
  4. Vehicle — pick the car. If it isn’t listed, tap Add vehicle by VIN to add it without leaving the quote.
  5. Work — tap Add service, find the service in the picker (grouped by your company’s categories, with a search box) and tap it. Repeat for each service; an add-on shows an Add-on badge. Each line is priced for the vehicle you picked; under the list you’ll see subtotal, tax and Estimate … — the office confirms the final total. The trash icon removes a line. A quote needs at least one service — until it has one, the screen says Add at least one service — a quote has to have a price.
  6. What is this? — leave Quote it selected. Book it turns the same answers into a job instead.
  7. Expiry — switch on This price expires if the offer should lapse. The date starts two weeks out; tap it to change it. Off, the quote stays open until the customer answers or the office closes it.
  8. Note for the customer — anything they should know about the price. The customer reads this on the quote you send them, so write it to them.
  9. Tap Create Quote.

The quote opens, saved on your phone; it uploads automatically when you have signal. Its price is Estimated from this device’s price list. The office confirms the final price. — the quote number and the office’s prices arrive on the next sync.

Send it, or hand it over

On the quote, tap Send to customer. This emails the customer a link to approve or decline the quote, and the quote moves from Draft to Sent. Offline, it reads Queued — it will send when you have signal. until it goes out; then you’ll see Sent with the date.

You don’t have to send it. If the customer is standing next to you, have them sign on your phone — see Have the customer sign a quote on your phone. A customer with no email address on file still gets a quote marked Sent, but nothing is emailed — tell them the price yourself or have them sign.

Find it again

  • On Find, type the customer’s name or the quote number; quotes have their own group in the results.
  • On Work, the Outstanding figure on Today’s numbers lists every unanswered quote, oldest first, each with a Resend quote button that emails the link again (needs signal; not offered once the quote has expired).

Good to know

  • Packages can’t go on a quote — only services. Pick a package and switch to Quote it, and the screen tells you it’s set aside; switch back to Book it and it returns.
  • If New quote isn’t offered when you tap +, your role can’t create quotes — ask the office.
  • A customer with no saved address can’t be quoted until they have one — the screen says This customer has no saved addresses. Adding an address to an existing customer is an office job; ask them to add it.
  • If the office rejects the quote when it syncs — a service that no longer exists, say — it disappears from your phone and the sync bar shows a badge with changes to review. Tap it to read why.
  • Back moves you a step back and keeps everything. Cancel, on the first step, asks Discard what you entered? first.
