Billing for your Wax Stak subscription
By the end of this article you will know what you are paying, from which card, when the next charge lands, what happens if it fails, and how to stop.
This is about what your business pays for the app. What your own customers pay you is under Billing — see Get set up to take card payments.
The overview
Open Settings → Company and click the Subscription tab. Current Plan shows the plan name with its status — Active, Trial, Past due, Canceled or No subscription — and, on a paid plan, what you pay per month or per year. That amount is what your subscription is recorded at, not the list price: if you were quoted a different price it shows here, and a change already agreed — a new price, or a plan or billing-frequency change you scheduled — appears with the amount it changes to and the date. Below are the Current Period dates and the Payment Method — the card brand and its last four digits.
The card that is charged
On the Payment Methods tab:
- Click Add Payment Method, fill in Card details and click Add Card. The card is encrypted and processed by the payment processor; the app never stores your card number.
- Every card on file is shown with Expires. The one marked Default is the one charged; click another card to make it the default. Your live subscription is pointed at the new card straight away, so the next renewal uses it.
- The bin icon removes a card. You need at least one card on file to subscribe to a paid plan.
What is charged, and when
- The plan, at the start of each billing period — monthly, or yearly on annual billing. You choose the frequency at signup and can change it any time on the Plans tab with the Monthly / Annual toggle; a switch takes effect at the end of your current period.
- Extra seats and texts past your allowance, on Pro and Business, at the end of the period they were used in — see Your plan. A very small overage is carried to the next period rather than charged.
- An upgrade, today: a credit for the unused days of the old plan and a charge for the rest of the period on the new one, prorated by the payment processor. A downgrade charges nothing until the next period. See the same article.
Every charge is listed on the Billing History tab as Payment History, with its date, Description and Amount. The tab reads “No billing history yet” until the first charge.
If a payment fails
The status turns to Past due and a notice explains: paid features stay available for 14 days from the first failed charge, with the date shown, and are limited after that until a payment succeeds. Add or switch to a working card on Payment Methods; the moment a charge succeeds the status returns to Active and the grace clock clears. The notice on this tab is the only place the app tells you — check it if a card is about to expire.
Cancel
- On the overview, click Cancel Subscription.
- Optionally say why, then confirm with Cancel Subscription — or Keep Subscription to back out.
Canceling takes effect at once: paid features stop, your plan becomes Starter, and the overview shows the date it was canceled. Nothing you have entered is deleted, and you can subscribe again at any time from the Plans tab. Canceling is the same as choosing Downgrade on the Starter card.
Good to know
- No refunds are issued automatically for the unused part of a period when you cancel; an upgrade credits the unused days against the new charge instead, and a downgrade waits for the period end so there is nothing to refund. If you believe a charge is wrong, write to support@waxstak.com with the date and amount from Billing History.
- Trial is shown while the processor has a subscription on file that has not billed yet; it becomes Active at the first successful charge.
- Who. Adding a card, changing the plan and canceling need billing access — the Admin or Accounting role. A Viewer can read the tab.
