Create and schedule a job
By the end of this article you will have booked a job for a customer and know what happens the moment you save it.
Where it is
Work → Jobs lists every job with Job #, Customer, Status, Technicians, Scheduled, Total and Created. The tabs filter by status (All shows everything), Filter by technician narrows the list to one person, and Search jobs… finds a customer or job number. Click Create Job to book one.
You can also start from the Calendar: clicking an empty cell opens the same form with the Appointment already set to that time — and, in Technician View, with the lane’s technician already added as the lead.
Book the job
- Set the Appointment: the date and time the work starts. The job’s end is worked out from the duration of its services, so there is no end time to type.
- Under Customer, click Select and pick the customer in the Select Customer dialog. The Address fills in from the customer’s record — that is where the technician is sent.
- Add Line Items. Each row has an Item Name picked from your services and products (or typed), a Description, the Vehicle, Qty, Duration in minutes, Price, a per-line Discount and whether Tax applies. Add Item adds a row; Add package… adds every item of a package at once. Durations add up into the job’s length.
- Under Technicians, pick who does the work. See Assign technicians to a job — the job can be saved with nobody on it and assigned later.
- Set a job-level Discount or Fee and check the Tax Rate; the totals update as you go.
- Add Notes the technician should read.
- Click Create Job. The job is saved as Scheduled and you land on its page.
What your customer receives
- A confirmation email for the appointment, with the date, time and services.
- A confirmation text as well, if Text a confirmation when an appointment is booked is on under Settings → Company → Automated Customer Messages.
- Reminders before the appointment, by email and (if on) by text, at the lead times set on the same card. Turn reminders off there and none are sent.
Nothing is sent to a customer who has no email or phone on file.
Good to know
- A job with a booking conflict for a technician, or one that pushes them into overtime, is flagged when you save; what happens next depends on the Overtime policy under Settings → Company — see the technicians article.
- A job that started life as a quote keeps its lines and prices; see Convert an accepted quote into a job.
- Jobs your customers book themselves through the portal appear here as Scheduled with the same fields; if you have exactly one active technician they are assigned automatically, otherwise the job waits for someone to be assigned or to claim it on the mobile app.
