Export a report
By the end of this article you will know which report to open to get a given file, and what will be in it when it lands in your downloads folder.
Every export in the Reports section is built on the server from the same figures you see on screen, so a file can never disagree with the page it came from. Each download is a single click, you see “Report exported successfully” when it starts, and the file is in the language the app is set to at the time.
What each report exports
- Revenue Report — Export CSV downloads a summary block, the revenue trend by day, week or month, and the revenue-by-service split for the period on screen. Named after the dates it covers.
- Bookkeeping — one CSV per statement: Export P&L, Export aging and Export trial balance. Each file name carries the basis it was prepared on and the dates or the as-of date, so a cash and an accrual copy of the same month can sit side by side.
- Tax Preparation — Export CSV and Export PDF both hold the whole packet for the tax year: annual revenue, mileage deduction and payments received by customer. The PDF is the one to hand to your preparer.
- Mileage & Fuel — Export mileage log downloads one line per route for the period, with date, technician, vehicle and plate, purpose, start and end locations, planned and actual miles, and the fuel and reimbursement figures. It is capped at twenty thousand routes, and a heading in the file says so if the cap was hit.
- Report Builder has no download; save the report and use Scheduled Delivery to have it emailed with a PDF attached, weekly or monthly.
Reports with no export
Technician Comparison, Customer Segments, Deliverability and AI Insights are read on screen only. Each is either a live snapshot with no natural period to file, or a reading of other figures you can already export.
Good to know
- CSV opens in any spreadsheet. Money is a plain figure in dollars with no currency symbol or thousands separator, dates are in year-month-day order, and the words around the figures are in the app’s language — the numbers never change with it, so a spreadsheet always reads them as numbers.
- The app language decides the file language. Switch the app to Spanish under your profile before exporting if your accountant reads Spanish.
- Who. Any role that can view reports can export them — Admin, Accounting, Manager and Viewer. Exporting does not change anything.
- No PDF for the revenue report. The revenue and bookkeeping exports are CSV only; the tax packet and scheduled deliveries are the two places a PDF is produced.
