Products you sell or use on a job
By the end of this article you will have your consumables on the Inventory page with a cost, a price where you sell them, and a count you can keep current.
A product is something you use up or hand over — sealant, air freshener, a bottle of interior cleaner you sell at the door. Tools and equipment you keep are gear, not products; see Gear: the tools your team carries.
Add a product
- Open Catalog → Inventory and click Add Item.
- Type the Name, in Spanish too if your team or customers read it (Show Spanish, or Auto-translate). Add a Description if the name is ambiguous.
- Enter a SKU if you use codes — the field says Optional inventory code, and search finds it.
- Pick a Category and any Tags.
- Enter the Quantity you have and its Unit (bottles, oz, ml — whatever you count in).
- Enter the Cost — what you pay per unit. The helper says Purchase cost. Leave blank if unknown.; a blank cost makes any margin that includes the product read as unknown rather than as zero.
- Enter the Price if you sell the product to customers. Leave it at zero for something you only use.
- Leave Taxable on unless the product is exempt. Every new invoice line for it starts from this and can still be changed per line.
- Click Create Product.
Where a product goes
- On an invoice. When you edit an invoice on the web, the line picker offers your products alongside your services, at the Price — or the Cost, when there is no price.
- In a package. Add product on a package puts it in with the services; see Build a package from services.
- As a service requirement. A service can list the products it uses per job or per vehicle; pick them with Select from Products on the service.
The job and quote forms pick services only; a product reaches a job through a package or the invoice.
Keep the count current
Quantity is the number you type; the app does not count it down when a job is done or a line is invoiced. Update it when you restock or take stock. The Qty column on the list is where you read it.
Good to know
- Search matches the name, description, SKU and category. The list opens as a table; the grid button switches to cards. Show inactive reveals retired products.
- Deleting a product removes it from the catalog and from inventory; retiring it keeps it. See Retire a catalog item without breaking past jobs.
- Who can do this: owners, admins and managers edit inventory; technicians, accounting and viewers see it read-only.
