Create a quote and send it to your customer
By the end of this article you will have created a quote, sent it to a customer, and know how they accept it.
Where it is
Work → Quotes in the left menu lists every quote with its Quote #, Customer, Status, Total, Expires and Created columns. The tabs above the list filter by status; All Statuses shows everything. Click Create Quote to start a new one.
Create the quote
- Set the Expiry Date. After that day the price is no longer on offer and the customer can no longer accept — until you move the date forward.
- Under To:, click Select and pick the customer in the Select Customer dialog (type in Search customers…). The customer’s address, phone and email fill in. Your own business details sit under From:.
- Add Line Items. Each row has an Item Name picked from your services and products, a Description, the Vehicle it is for (or None, or + Add a vehicle… to add one on the spot), Qty, Price, a per-line Discount and whether Tax applies. Add Item adds a blank row; Add package… drops in every item of a package at once.
- Below the table, set a quote-level Discount or Fee and the Tax Rate. The rate defaults from the customer’s tax profile and shows where it came from; choose Custom… to type your own. The totals — Sub Total, Item discounts, Discount, Fee, Tax and Grand Total — update as you go.
- Use the Notes to Customer tab for text the customer will read and Internal Notes for your team only.
- Click Create Quote. It is saved as a Draft.
Send it
Open the quote from the list. The page shows its status and the actions that make sense for it. For a draft that is one button: Send.
- If the customer has an email address, they receive the priced quote. When your customer portal is switched on, the email carries an approve link, so they can accept without calling you. When the portal is off, they get the quote without the link and you record their answer yourself.
- If the customer has no email on file, Send still marks the quote Sent — hand it over in person, or have a technician collect a signature on the mobile app, which records the acceptance against the quote.
What you can still change
A Draft or Sent quote stays editable: open it, change lines or dates, and click Save. Editing does not resend it. A quote that has reached Accepted, Declined or Expired is fixed.
Good to know
- A quote uses your business’s currency; the customer sees the same lines and totals you do.
- Delete is offered only for a Draft, Declined or Expired quote — a sent or accepted quote is a record.
- Prices, tax rules and packages come from Catalog; fix them there and every new quote picks them up.
