Prepare for tax season with the tax report

By the end of this article you will have a one-year packet — earnings, deductible miles and the customers likely to send you a 1099-NEC — ready to hand to whoever prepares your return.

ReportsFinanceTax Preparation is a Business feature. It restates your own records for one calendar year; it does not compute what you owe, and the notice at the top says so. Review it with a qualified tax professional before filing.

Build the packet

  1. Pick the Tax year. The page opens on the year just ended and offers the last five; you can also pick the current year to see it in progress.
  2. Accounting basisAccrual or Cash — governs the Annual revenue block only. It starts on your saved default and changes this view only.
  3. Read the three blocks below, then click Export CSV or Export PDF. Both carry the same three blocks, in the language the app is set to, and are named with the tax year.
  4. Refresh reloads the figures.

The three blocks

  • Annual revenueTotal income, Total expenses and Net profit for the year on the basis shown in the chip beside the selector. On a cash basis a Payments not yet applied to an invoice line holds cash received that no invoice has claimed. These are the same figures your profit and loss shows for the year.
  • Mileage deductionRoutes driven, Deductible miles (odometer distance where a technician recorded it, otherwise the planned distance, added up per route), your Rate per mile and the resulting Mileage deduction. If the block shows Not available, the line beneath says why: no routes, no recorded distance, or no per-mile rate. Set the rate under SettingsCompanyService Area in the Mileage & fuel card.
  • Payments received by customer — cash actually received in the calendar year from each customer, net of refunds and excluding tips, with the customer’s Type. A Business customer who paid you $600 or more is flagged Expected in the 1099-NEC column, and the note above the table counts how many forms to expect. This block is always cash and calendar-year, whatever basis you file on, because that is how the payer fills in the form.

Good to know

  • A closed period is stated. Beside the selector, a chip shows Open period, or that the books are closed through a date. Close the books after filing so the year’s figures cannot change underneath your return.
  • Prepared in QuickBooks. While QuickBooks is connected, this page shows Prepared in QuickBooks with Open QuickBooks settings and no figures: your filing numbers live there so there is only one authoritative set. Mileage and bookkeeping reports here are unaffected.
  • Hidden books. If you turned off the bookkeeping views, this page says so and points at the QuickBooks settings to turn them back on.
  • A capped list. If the receipts list was cut short, a notice says the total is incomplete — contact support before filing from it.
  • Business only. On Starter or Pro the page shows Tax preparation reports are a Business feature with View plans. Any role that can view reports can open it.
