Convert an accepted quote into a job
By the end of this article you will know how a sent quote gets its answer and how an accepted one becomes a job on the calendar.
The statuses
| Status | Meaning |
|---|---|
| Draft | Saved, not yet sent. Editable. |
| Sent | On its way to the customer. Editable; waiting for an answer. |
| Accepted | The customer said yes. Ready to convert. |
| Declined | The customer said no. |
| Expired | The expiry date passed, or you closed it. |
A quote only moves forward: Draft → Sent → one of Accepted, Declined or Expired.
Record the answer
Open the quote under Work → Quotes. On a Sent quote the page offers three buttons:
- Accept — the customer agreed. Use this when they told you by phone, in person, or by replying to the email. If they accepted through the link in the email, or signed on a technician’s phone, the quote is already Accepted when you open it.
- Decline — the customer said no.
- Expire — close the quote without an answer.
Convert it into a job
- On an Accepted quote, click Convert to Job.
- In the dialog, set the Appointment — the date and time the work starts — and click Convert.
- You land on the new job. Its lines, prices and customer come from the quote; add technicians and notes there as for any job.
The quote keeps a link to the job it became, and the button disappears once it has been converted: a quote becomes one job, never two.
If the quote has expired
A quote past its Expiry Date cannot be accepted — the price is no longer on offer. To revive it, open the quote, move the Expiry Date forward and click Save, then Accept it. (A technician can also send a sent quote again from the mobile app’s outstanding list, so the customer gets a fresh link.)
Good to know
- A quote and the job made from it are separate records: changing the job later does not change the quote.
- Everything about the job from here on — technicians, status, invoice — is covered by the job articles below.
