Branding your portal, invoices and emails
By the end of this article you will know which parts of what your customers see carry your brand, where each one is set, and which of them your plan actually switches on.
Three surfaces face your customers: your customer portal (including the online booking page), the emails sent for you, and the invoices you issue. Your own team never sees any of it — the back office always looks the same.
Your logo and colors
Open Settings → Branding. The Branding tab holds one card for identity:
- Logo — choose a file; it saves the moment you pick it. The same logo is set from Settings → Company, and either place changes both.
- Primary color — a six-digit hex color, with its leading hash. It themes your customer portal and the buttons and links in your emails. Where it would leave text hard to read, the app adjusts it slightly.
- Secondary color — used in your emails only; the booking page uses the primary color.
- Click Save.
Your booking page, on the right, shows how the page looks to a customer right now on your current plan — including whether it carries your logo or the standard one.
Which plan you are on decides what renders:

You can upload a logo and pick colors on any plan; they are kept and light up when you upgrade.
Social profiles
Below the branding card, Social profiles lists the pages you want customers to find: click Add profile, pick the Platform — Facebook, Instagram, TikTok, YouTube, X, LinkedIn, Yelp, Google Business or Nextdoor — paste the Profile URL (the full address, on that platform’s own domain), order the rows with Move up/Move down, and click Save. They appear in the footer of your branded customer emails and on your customer portal, so they show on the Pro plan and above.

Emails
The Email tab starts with Email Branding:
- Sender name — the name customers see in their inbox. The sending address itself never changes.
- Reply-to address — where a customer’s reply goes; leave it blank to use the default.
- Show “Powered by Wax Stak” in the footer — on the Business plan, turn it off to remove the credit from every email you send.
- Preview renders a real email with your current settings before you Save.
Below it, Email templates is the Business-plan builder for marketing emails: New template, or From layout to start from an announcement, a promotion, a newsletter or a thank-you; write in English or Spanish; insert personalisation fields such as the customer’s name; and Send test to your own inbox before using it in a broadcast.
The wording of the everyday emails — invoice, appointment confirmation, payment received and the rest — is not edited here but under Settings → Company → Customer Messages; see Notifications.
Invoices
An invoice does not use your colors or logo. Its “From” block prints what Settings → Company holds: your Company Name, the Billing Address, and the Support phone and Support email — or the business phone and email when those are blank. The email that carries the invoice is branded like every other customer email.
Good to know
- A lapsed subscription turns branding off. Entitlement follows your live subscription, not the plan name on the page: past the grace period after a failed payment, customers see the standard look until billing is fixed — see Billing for your Wax Stak subscription.
- Colors are checked. A value that is not a hex color is refused with a message under the field.
- Who. Editing branding needs the Admin role.
