Create a job directly (no quote)
By the end of this article you’ll have booked a job from your phone for a customer who’s ready now — no quote, no email — and know when it shows up on Work.
A job is booked work: a customer, a vehicle, a date and a start time. If the customer wants a price first, create a quote instead — see Create a quote on site. It’s the same screen; only the last step differs, and you can switch between the two before you save.
Create the job
- On Work, tap the + button, then New job. The screen is titled New Job and shows Step 1 of 6 at the top.
- Customer — search by name or phone and tap the match. Not in your company’s book yet? Tap New customer and add them right there. Without signal the list says Offline — limited to recent customers.
- Service address — the customer’s primary address is pre-selected; tap another if the work is somewhere else. Change customer takes you back a step and keeps everything else.
- Vehicle — pick the car, or tap Add vehicle by VIN to add one without leaving the job.
- Work — tap Add service or package and pick from your company’s catalog: services grouped by category, add-ons with an Add-on badge, packages with a Package badge (once added, a package lists what’s inside it). Each line is priced for the vehicle you picked; under the list you’ll see Estimate … — the office confirms the final total. Work is optional on a job — you can book now and let the office add the services.
- What is this? — leave Book it selected. It Creates a scheduled job. Nothing is sent to the customer.
- Schedule — pick the day on the calendar and one of the start times: 8:00 AM, 10:00 AM, 12:00 PM, 2:00 PM or 4:00 PM. If your business is closed that day, a notice says so under the calendar.
- Tap Create Job. On a closed day the app asks Closed that day — Book anyway goes ahead; Pick another day takes you back.
The job opens. It’s saved on your phone and uploads automatically when you have signal. You’re the technician on it, and it appears on Work on the day you picked.
What the office gets
The job arrives at the office on your next sync with the customer, address, vehicle, services and start time you chose. The office’s price list decides the final prices, and the end time comes from how long the services take. The office can then change anything — move it, add technicians, add services or products.
Creating the job sends nothing from your phone. If your business has booking confirmations or appointment reminders switched on, the office’s system sends those once the job arrives there.
If the job didn’t go through
The office checks the booking when it arrives. If it can’t be kept, the job disappears from your phone and the sync bar shows a badge with a change to review. Tap it to read why. The two you’re likely to see:
- This job wasn’t created — you were already booked at that time. Please create it again at a time you’re free. Pick a slot you’re free in and create it again.
- This job wasn’t created — one of the services or vehicles on it is no longer available. Please create it again. A service was retired from the catalog while you were offline; create it again with what’s offered now.
Good to know
- If the Work step says No services have synced to this device yet. You can still create the job and add the work later. instead of offering a button, your phone has no catalog yet — sync once with signal, or book without services and let the office fill them in.
- A job created without services has no Edit services button on the phone until the office adds the first ones. See Add services, add-ons and products to a job.
- If New job isn’t offered when you tap +, your role can’t create jobs — ask the office.
- Back moves you a step back and keeps everything. Cancel, on the first step, asks Discard what you entered? first.
- Switching to Quote it sets any packages aside — a quote carries services only — and brings them back if you switch to Book it again.
