Your plan: what each tier includes, and how to change it
By the end of this article you will know which plan you are on, what it does and does not include, how close you are to its limits, and what changing it does to your billing.
Everything about your plan is on the Subscription tab of Settings → Company. Prices are on the pricing page, and the Plans tab shows them live; this article does not repeat them.
The three plans
| Starter | Pro | Business | |

| Active customers | Up to 15 | Unlimited | Unlimited |
| Team members included | 1 | 3, then a monthly charge per extra seat | 10, then a monthly charge per extra seat |
| Texts a month | 50, then texts pause | 200, then a per-text rate | 750, then a per-text rate |
| Photos per job | Up to 5 | Up to 20 | Unlimited |
| Reporting | Basic | Standard | Advanced, with weekly AI insights |
| Route optimization, bookkeeping statements, review analysis | — | Yes | Yes |
| Your logo and colors on the portal and emails | — | Yes | Yes, and the “Powered by” credit can be removed |
| Customer subscription plans | — | 5 | Unlimited |
| Marketing emails and the template builder | — | — | 5,000 a month, unlimited templates, customer segments |
| QuickBooks Online | — | Connect and import | Connect, import and daily sync |

The per-seat and per-text amounts are printed on the plan cards themselves, so they are always current.
Read your usage
Usage this period sits under your current plan: Customers, Team members, Text messages and, on Business, Marketing emails, each as a count against its limit with a bar that turns amber at 80% and red at 100%. The same two points raise a notification for every Admin. Under the text meter, a note says what your plan does past the allowance and, on Pro and Business, how many texts have gone past it so far and what that will cost at the end of the period.
Upgrade, downgrade, or switch to annual billing
- On the Plans tab, the Monthly / Annual toggle sets the billing frequency the cards are priced at; annual shows the per-month equivalent and what a year saves.
- Each plan card ends in a button: Current Plan on yours, Upgrade or Downgrade on the others once you have an active subscription, Subscribe before that. Set the toggle to the other frequency and your own card’s button becomes Switch to annual (or Switch to monthly).
- A paid plan needs a card on file first; without one, clicking a paid plan only tells you to add a payment method. Add one on Payment Methods. See Billing for your Wax Stak subscription.
- Click the button. The dialog says exactly what will happen and when, and what it will cost, before you Confirm.
An upgrade takes effect today. Your billing period does not change: you are credited for the unused days of your current plan and charged for the rest of the period at the new plan’s rate, and the dialog shows both amounts and the net as an estimate. The exact amount is prorated by the payment processor and appears in Billing History once it posts.
A downgrade, and any switch between monthly and annual, takes effect at the end of your current period. Nothing is charged today. The overview shows the plan and price you are moving to and the date; from that date you pay the new amount. Until then you keep what you have.
A downgrade past the new plan’s limits is refused. If you have more team members (or, in future, more of anything else the smaller plan caps) than it allows, the dialog lists each limit in the way and Confirm stays disabled. Bring the count under the limit — deactivate a team member, say — and try again.
Downgrade to Starter is different, because Starter has no subscription: the button cancels your subscription. Paid features stop right away and your plan becomes Starter; you can subscribe again at any time.
After a downgrade
Nothing is deleted when you move to a smaller plan. If your usage grew past the new plan’s limits between confirming and the date it took effect, you keep what you have and cannot add more until you are under the limit. Features the new plan does not include stop working the moment the change takes effect: branded pages revert to the standard look, QuickBooks stops syncing, and so on.
Good to know
- Starter is free and has no billing. Choosing it at signup, or dropping to it later, means no card is charged and no subscription exists.
- Extra seats and texts are billed in arrears. Pro and Business let you go past the included seats and texts; the extra is charged at the end of the billing period, not when it happens.
- Who. Changing the plan needs billing access — the Admin or Accounting role. A Viewer can read the page; Managers and Technicians do not see Settings at all.
