Add or edit a vehicle

By the end of this article you’ll have put a customer’s vehicle on file from your phone — or fixed a plate or color that was wrong — with or without signal.

Where to start

A vehicle always belongs to a customer, so the form opens from somewhere that already knows who they are:

  • From a job. Open the job and find its Vehicle card. Add Vehicle starts a new one for that customer; Edit Vehicle opens the one already on the job.
  • While booking. In the Vehicle step of a new job or quote, the customer’s vehicles are listed to pick from. If theirs isn’t there — the list reads This customer has no vehicles yet. — tap Add vehicle by VIN. The same form opens in place, and the vehicle you save is picked for the job.

A customer’s own page lists their vehicles but doesn’t add or edit them; go through a job.

Start from the VIN

The VIN is the 17-character code on the driver’s door jamb and at the base of the windshield. It’s optional, but it’s the fastest way to fill the form.

  1. Tap Scan VIN and point the camera at the barcode on the door label. The app reads it back and asks Does this match the VIN on the label? — compare it character by character, because a barcode can misread one and a wrong VIN is hard to spot once the details are filled in. It matches accepts it; Scan again tries once more. If the app says the code is probably wrong, believe it: the VIN’s own check digit doesn’t add up.
  2. Or type it into VIN. A VIN is 17 characters and never uses the letters I, O or Q; the form tells you when what’s typed can’t be right, and won’t decode or save until it’s fixed or cleared.
  3. Tap Decode VIN. With signal, the Year, Make, Model, Trim, Body Class, Drive Type and Fuel Type fill in from the code. Every field stays editable — check them against the car.

Without signal, Decode VIN is greyed and the note under it says so. Type the details yourself and save; the VIN is kept, and you can decode it another time.

Fill in the rest

  1. Pick the Type: Sedan, SUV, Truck, Van, Motorcycle or Other. It’s what your prices by vehicle type key off.
  2. Make sure Year, Make and Model are in — those three are required, and the year has to be a real one.
  3. Add the Color and the License Plate. Neither is required, but a plate is what you’ll type into Find next time.
  4. Tap Save Vehicle. Vehicle saved. shows briefly and you’re back where you started — the job, or the booking with this vehicle chosen.

If the vehicle is already on file

When you add a vehicle with a VIN the customer already has, the app stops before saving: Vehicle already exists, with the matching code. Open existing uses that vehicle instead of creating a second copy — from a job it opens for editing, and while booking it’s simply picked for the job. Cancel goes back to the form.

The check is by VIN only. A vehicle entered without one can’t be recognized this way, so glance at the customer’s vehicle list first.

Good to know

  • Saving works offline. The vehicle is on your phone at once and reaches the office on the next sync.
  • Scan VIN only appears on a phone; there’s no scanner in a browser. The camera is asked for the first time you scan — if you declined it, the note under the field tells you to type the VIN instead, and how to turn the camera back on.
  • Editing shows the same form with the vehicle’s details already in. Change what’s wrong and tap Save Vehicle; the duplicate check doesn’t run on an edit.
  • Cancel asks Discard what you entered? once you’ve typed or scanned anything. Keep editing returns to the form; Discard leaves it as it was.
  • If the form says Pick a customer before adding a vehicle., it was opened without one — go back to the job or the booking and start from there.
  • Removing a vehicle is done in the office, not from the phone.
