Assign technicians to a job
By the end of this article you will know how to put the right people on a job, what the hints under the Technicians field mean, and what stops an assignment from saving.
Where it is
On the job form — Create Job, or any job opened from Work → Jobs — the Technicians field sits next to the Address, once a customer is selected. Type in Search technicians… and pick from your active technicians; each person becomes a chip.
Pick the crew and the lead
- The first person you add is the Lead. To hand the lead to someone else, select the Lead radio on their chip. A job always has exactly one lead while anyone is on it.
- Remove a chip to take that person off. If you remove the lead, the next person becomes lead.
- The lead is the person who runs the job on the mobile app: confirming, starting and completing it, telling the customer they are on the way, and cancelling. Helpers see the job and log their time, but the status is the lead’s.
The hints
- Needs 2 technicians — the largest crew any selected service needs at once. It is guidance: a short crew is warned about (1 of 2 technicians assigned — the job can still be saved), not blocked.
- Not eligible for Ceramic Coating on a person — a selected service they are not listed for. A crew where somebody covers every service is fine; a crew where a service has no eligible person cannot be saved, and the field says which service.
- Eligibility comes from the service itself: Catalog → Services, on each service, Only these technicians lists who may do it. Leave it empty and anyone can.
Ask the scheduler — Business plan
On a saved job, Suggest opens Suggested assignment: the people who can take the job as scheduled under Available, each with the drive from their previous stop, any overtime it would cause and whether they Has served this customer; the rest under Not available with the reason. Click Add next to a person to put them on the job, then Save. On a new job that has not been saved yet the button is not shown. On the Pro and Starter plans it is not offered.
Conflicts and overtime
- If a chosen technician already has a job at that time, saving is refused with This technician has a scheduling conflict at the selected time. Tick Assign anyway (override the conflict) to save regardless.
- If the assignment pushes someone past their weekly hours, what happens depends on Settings → Company → Overtime: with Allow scheduling overtime on, the job saves and you are warned; with it off, the save is refused and the form says so.
Good to know
- Each person assigned gets an in-app notification on the mobile app and in the bell here, naming the job and its time; someone taken off the crew is not told they were on it.
- A job can be saved with nobody on it. Technicians see such jobs in the mobile app’s unassigned list and can claim one; the same eligibility, conflict and overtime rules apply to a claim.
