Pay models and the payroll report

By the end of this article you will know what each person on your team earned for a period, where each figure came from, and what the report does not do.

The four pay models

Each employee’s Pay Type, on their record under TeamEmployees, decides which of three figures the report can produce for them:

  • Hourly — clocked hours × their Hourly Rate ($). Job payouts are not paid.
  • Per Job — a flat payout for each completed service or bundle. Hours are recorded but not priced.
  • Both — hours at the rate, plus the payout on each completed service.
  • Salary — a fixed Salary Amount, quoted per week, two weeks, half-month, month or year, and earned over the days the person is employed. Neither hours nor payouts are priced.

Not set behaves as per job. The payout for a service is the Technician Payout on the service itself, under CatalogServices; a bundle pays its services’ payouts, and a bundle with no service pays nothing.

Crew jobs

When more than one person is on a job, its payout is divided among those paid per job: the lead takes the share set under SettingsCompanyCrew Pay in the Crew payout split card, and the helpers split the rest equally; leave the share blank for an equal split. Anyone on the job who is paid hourly earns their hours, not a share.

Reading the Payroll page

Open TeamPayroll. Pick a Period — this week, last week, the current half of the month (the 1st to the 14th, or the 15th to the end), this month, last month — or Custom Range with a Start Date and End Date. Click Refresh to re-read after changing records.

Four cards summarise the whole period across every technician: Total Payroll, Jobs Completed, Average Payout per job, and Active Technicians (those with a completed job). Below them, Employee Payroll lists one row per person with a completed job, priced hours, or a salary in the period:

  • Jobs — completed in the period.
  • Service Payout — their share of each completed job’s payouts.
  • Hourly — their clocked time, priced at the rate frozen when they clocked in. A dash means no hourly basis.
  • Salary — the amount accrued for the days of the period they were employed. A dash means no salary.
  • Total — the three added together.

Expand a row for Jobs Detail: each job with its customer, when it was completed, its services, the Crew — “Lead · alone”, or “Lead · 2 on the job” with the payout shown as a share “of” the job’s total — and the person’s payout.

A period is judged by when the job was completed and when the hours were worked, in your company’s timezone. A job completed on the first of next month belongs to next month even if the work started before.

What closing the books does

The report is a live reading; complete a job or correct a time entry and the period moves. Closing the books through a date, under SettingsAccounting in the Close the books card, posts the payroll for that period — hours, payouts and salary alike — as a labor expense the ledger keeps, and from then on the report and the books agree to the cent. A salary change or a corrected employment date only affects days that have not been closed.

Who can see payroll

Admins, Accounting, Managers and Viewers can open the page; only an Admin can change what someone is paid. Technicians never see it.

Good to know

  • There is no payroll export and no direct deposit. The page is the report you pay from; type the totals into whatever you use to pay people.
  • “Half of the month” is a preset, not your pay schedule. If you pay weekly or every two weeks, pick that preset or a custom range — the app does not store a pay schedule.
  • The summary cards cover everyone in the period; the table shows one page at a time. Change the technicians-per-page control at the foot of the table to see more rows at once.
