Schedule a report to be emailed

By the end of this article a report you built will land in your team’s inbox on a day you chose, without anyone opening the app.

ReportsToolsScheduled Delivery is a Business feature. A schedule takes a report saved in the Report Builder, runs it for the week or month just ended, and emails the result — with the full report attached as a PDF — to people on your team.

Create a schedule

  1. Save the report first. Until you have one, the page shows a warning and New schedule stays disabled.
  2. Click New schedule.
  3. Saved report — the report to send. Its date range is ignored; the schedule supplies the period. Its other filters — technician, customer, service, vehicle type, grouping — apply as saved.
  4. How oftenWeekly or Monthly.
  5. Send on — a weekday for a weekly schedule, or a day of the month from 1 to 28 for a monthly one. The list stops at the 28th so the day exists in every month, February included.
  6. Recipients — one or more people with an account at your business. There is no box for an outside address, and a schedule can have at most 25 recipients.
  7. Click Create schedule. You see “Schedule created” and the row appears under Schedules.

What each delivery contains

  • A weekly schedule covers the seven days before the send day; a monthly one covers the previous calendar month. The email says which dates it covers.
  • The email body carries the headline figures — total job value, total jobs, completed jobs, average job value. The attached PDF has the whole report: every period row and every service total, with a note that job value is the value of completed jobs, not recognized revenue.
  • Each recipient gets the email and PDF in their own preferred language.

Manage schedules

  • Schedules lists each schedule’s Report, when it Sends, its Recipients and Last sent. The Active switch pauses a schedule — the emails stop, the schedule stays — and turns it back on.
  • Delete schedule removes it. Deleting the saved report it uses is refused while the schedule exists.
  • Recent deliveries is the record of what actually went out: the Report, the period it is Covering, who it was Sent to and when it was Sent. Last sent alone only says an occurrence was handled; this table says who received it.

Good to know

  • Your business’s day. The note at the top names the timezone deliveries follow, with Change your timezone taking you to your business settings. A schedule set for Wednesday sends on Wednesday in that zone.
  • The first send waits for the day you chose. Creating a Wednesday schedule on a Thursday does not send yesterday’s report. If a send day is ever missed, the next daily run delivers the same report late rather than skipping it.
  • Recipients are checked at send time. Someone who has left your team, been deactivated or has no email address is skipped without stopping the delivery to everyone else.
  • Business only. On Starter or Pro the page shows Unlock Business reporting with Upgrade to Business.
