Build a custom report

By the end of this article you will have a saved report that answers one question about your work — which technician, which customer, which service — and can be rerun or emailed later.

ReportsToolsReport Builder is a Business feature. It starts from the same date range and grouping as the revenue report, then lets you narrow the figures to one technician, customer, service or vehicle type.

Run a report

  1. Under Filters, set From, To and Group by as you would on the revenue report.
  2. Narrow the report with Technician, Customer, Service and Vehicle type. Each defaults to All; the vehicle types are Sedan, SUV, Truck, Van, Motorcycle and Other.
  3. Leave Comparison on No comparison, or choose Compare to last year to see the same window one year earlier.
  4. Click Run report. The cards, the trend and the by-service split refresh for your filters.

Save it to run again

  1. Under Saved reports, type a Report name and click Save. You see “Report saved”.
  2. To run a saved report later, pick it under Load a saved report — it restores every filter, including the comparison, and runs.
  3. Delete removes the report you have loaded. A report that a schedule is still emailing cannot be deleted — delete the schedule first.

Read the results

  • Total Job Value, Total Jobs, Completed Jobs and Avg. Job Value describe completed jobs that match your filters. This is the value of work done, not recognized revenue: a job’s value counts the day it is scheduled, whether or not it has been invoiced or paid.
  • Job Value Trend shows one bar per day, week or month; Job Value by Service splits the total by service line, with each service’s job count.
  • With Compare to last year, the trend becomes Year over year: this year’s series over last year’s for the same dates, and each card shows last year’s figure and the change.

Good to know

  • Why “job value” and not “revenue”. The filters are job dimensions — who did it, for whom, which vehicle — and an invoice does not carry them. The revenue report answers “what did we earn”; the builder answers “what work did we do, for whom”.
  • Business only. On Starter or Pro the page shows Unlock Business reporting with Upgrade to Business.
  • Limits. A date range can be up to a year long. The Customer list offers your first hundred customers; the Technician list is your active technicians.
  • Saved reports feed schedules. Scheduled Delivery can only email a saved report, so save here first.
