Gear: the tools your team carries

By the end of this article you will have your equipment listed on the Gear page, with what it cost and when you bought it, and you will know how gear differs from the products on your Inventory page.

Gear is what you own and take to a job — a dual-action polisher, a hot-water extractor, a generator. It is never sold to a customer and never appears on an invoice; it is tracked so that you know what you have and what a service needs.

Add a piece of gear

  1. Open CatalogGear and click Add Gear.
  2. Type the Name (and its Spanish name with Show Spanish or Auto-translate, if your technicians’ phones are in Spanish). Add a Description for the model or serial number if you like.
  3. Enter a SKU if you label your equipment — the field says Optional inventory code.
  4. Pick a Category. Only categories that apply to Equipment are offered here; see Organize services into categories.
  5. Enter the Quantity you own and a Unit if one makes sense.
  6. Enter the Cost — what you paid per unit — and the Purchased On date. Both are for your own records; nothing is charged to a customer from them.
  7. Click Create Gear.

There is no Price field on gear, and no Taxable switch: gear is not sold.

Gear on a service

A service can list the gear it needs under Requirements (Gear & Products) — a polisher per job, two towels per vehicle. Open the service, click Add Requirement and pick the item with Select from Products; the search covers both your gear and your inventory, and the row’s Type reads Gear when you pick a piece of equipment. The requirement records the quantity and whether it is Per Job or Per Vehicle.

Requirements are a planning note kept with the service. They do not change the service’s price, and nothing on a job or invoice is added because of them.

Good to know

  • Gear and inventory share one form with two differences: gear has Purchased On where a product has Price, and gear has no Taxable switch.
  • Search on the Gear page matches the name, description, SKU and category; Show inactive reveals retired gear.
  • Retire, don’t delete, gear you have stopped using but once listed on services; see Retire a catalog item without breaking past jobs.
  • Who can do this: owners, admins and managers edit gear; technicians, accounting and viewers see it read-only.
