Use the calendar

By the end of this article you will be able to read the week at a glance, book from the calendar, and move jobs around without opening them.

Where it is

WorkCalendar opens the Job Calendar on the current week, starting on the day your business hours say the week starts. Every job in the range is a block labelled with the customer and the first service, from its Appointment for as long as its services take.

Two ways to look at it

The toggle at the top right switches between:

  • Standard View — one grid for the whole business. The buttons on the calendar’s own toolbar change the layout: Day, Week, Work Week, Month and Agenda (a plain list). Today and the arrows move through time.
  • Technician View — one lane per technician, laid out as a timeline (Timeline Day, Timeline Week), plus an Unassigned lane for jobs with nobody on them. A job with two people on it appears in both of their lanes.

The colour of a block is its status: grey Scheduled, blue Confirmed, orange In Progress, green Completed, red Cancelled.

Book from a cell

Click an empty cell and the job form opens with the Appointment set to that time. In Technician View, the lane you clicked is already on the job as the lead. Fill in the rest as in Create and schedule a job. Create Job at the top right opens a blank form instead.

Move a job

  • Drag a block to another time — the job is rescheduled to the exact time you drop it on; its length does not change. Your customer’s reminders follow the new time.
  • Drag a block to another lane (Technician View) — that technician replaces the one whose lane you dragged from. Drop it on Unassigned to take that person off the job. The lead stays the lead if they are still on the job; otherwise the newcomer leads.
  • Blocks cannot be stretched: a job’s length comes from its services’ durations, so change the lines on the job page instead.

If the move creates overtime for someone, the calendar tells you after saving; if the save is refused — a conflict, or overtime with the policy set to refuse — the block snaps back to where it was.

Closed days

Days your business is closed are shaded. You can still book on one — an emergency job on a holiday is your call — but the calendar asks first: Book on a closed day? with Book anyway to go ahead. Dragging a job onto a closed day asks the same question.

Open a job

Click a block to open the job page. There is no editing popup on the calendar itself; the job page is where everything lives.

Good to know

  • The calendar shows jobs in every status, cancelled ones included, so a red block is a cancellation, not a problem.
  • Technician View lists your active technicians; someone who has left the team no longer has a lane, and a job still assigned to them shows in Unassigned until you reassign it.
  • The week start day (Week starts on) and the closed days (Closures) are set on the Business Hours tab under SettingsCompany.
