Customer Portal Terms of Use

These terms govern your use of the WaxStak customer portal — the website where you view your appointments, vehicles, invoices and photos with a car-care business you booked with, reached at that business’s own address such as yourdetailer.portal.waxstak.com.
The portal is provided by WaxStak LLC (“WaxStak”, “we”, “us”). By using it, you agree to these terms. If you do not agree, please do not use the portal.
1. WaxStak is not your service provider
This is the most important thing to understand about these terms. WaxStak makes the software the business uses to run its operation. WaxStak does not wash, detail, repair or service your vehicle, does not set prices, and is not a party to your agreement with the business.
Your agreement for the actual work is with the business you booked with. The following are entirely between you and them:
- What work is performed, when, and to what standard
- Prices, deposits, taxes, tips and surcharges
- Cancellation, rescheduling, no-show and refund policies
- Any warranty or guarantee on the work
- Damage, loss or any other claim arising from the service
Raise anything in that list with the business directly. WaxStak cannot resolve it for you and does not arbitrate between you and the business.
2. Your access to the portal
You do not create an account. The business enters you as a customer in their system, and the portal gives you access to the record they hold. Access depends on that business continuing to use WaxStak and continuing to offer the portal — either can end at any time, at their choice, and WaxStak has no obligation to preserve your access if it does.
You must be at least 18 years old, or the age of majority where you live, to use the portal.
3. Signing in, codes and links
Signing in is by a six-digit code emailed to you, or by Google or Apple sign-in. There is no password.
You agree to:
- Keep sign-in codes to yourself and not share them with anyone, including anyone claiming to be from the business or from WaxStak
- Treat the links we email or text you — to pay an invoice, approve a quote, or view a job — as you would a password. Those links grant access on their own, without a sign-in. Do not forward them.
- Sign in only to a record that is yours, and tell the business promptly if you are shown someone else’s information or believe your access has been misused
4. Bookings
A booking made through the portal is a request to the business, subject to their availability, their confirmation, and their policies. Availability shown in the portal reflects the business’s schedule at that moment and is not a guarantee that a slot remains open until you submit.
Prices and estimates shown at booking are the business’s and may be adjusted by them — for example where the work required turns out to differ from what was booked. Whether and how a booking can be cancelled or changed is the business’s policy, not ours.
5. Payments
Payments are processed by Finix, our payment provider. Card details are entered directly into fields hosted by Finix; WaxStak never receives your card number.
By submitting a payment you confirm you are authorized to use the payment method. Payments are collected for the business — WaxStak is not the merchant and is not the recipient of the funds.
If you save a card and authorize recurring or future charges, that authorization applies to charges raised by that business. You may withdraw it at any time in the portal; withdrawing it does not cancel amounts already owed, and does not by itself cancel a recurring service plan.
Billing questions, disputes and refunds go to the business first. They raise, adjust and refund their own invoices.
6. Reviews and anything else you submit
If you submit a review, you agree that it is your own honest opinion of a service you actually received, and that it does not contain anything unlawful, defamatory, harassing, or infringing on anyone’s rights, and does not include another person’s private information.
You keep ownership of what you write. You grant WaxStak and the business a non-exclusive, royalty-free licence to store, display and share it in connection with the business’s services — including publishing it publicly. Published reviews show your first name only, or “Anonymous”.
You may edit or delete your review at any time from the portal. The business and WaxStak may decline to display, or may remove, a review that breaches this section. Neither of us is obliged to publish a review or to keep it published.
7. Text messages
Text messages are optional, transactional, and sent on behalf of the business. Consent is given by ticking an unticked box on the booking form and can be withdrawn by replying STOP. See the SMS Terms & Program Disclosure for the full program details.
8. Acceptable use
You agree not to:
- Attempt to access any record that is not yours, or any other business’s data
- Probe, scan, or test the security of the portal, or bypass any access control
- Scrape, harvest, or bulk-collect data from the portal, or use automated means to access it
- Interfere with the portal’s operation, or place an unreasonable load on it
- Submit anything unlawful, or use the portal to harass anyone
- Reverse engineer, copy, or resell any part of the portal
- Misrepresent who you are, or use someone else’s sign-in code or access link
We may suspend or withdraw access that breaches this section, and the business may do so at any time for their own reasons.
9. Availability
The portal is provided as-is and as-available. We do not guarantee it will be uninterrupted or error-free, and we may change, suspend or discontinue any part of it. Maintenance, outages, and the business’s own decision to switch the portal off can all make it unavailable. Nothing in the portal is a substitute for contacting the business directly about an appointment.
10. Our intellectual property
The portal, its software, design and branding belong to WaxStak or its licensors. Your right to use it is a limited, personal, non-transferable permission to view and manage your own records, and nothing more. The business’s own name, logo and content belong to that business.
11. Disclaimers
To the fullest extent permitted by law, WaxStak disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, in relation to the portal.
Information in the portal — appointment times, prices, invoice amounts, vehicle details, photos — is entered and controlled by the business. WaxStak does not verify it and is not responsible for its accuracy. If something looks wrong, the business is who can correct it.
Nothing in these terms excludes any liability that cannot be excluded under the law that applies to you, including consumer-protection rights you may have. Some jurisdictions do not allow certain exclusions, so parts of this section may not apply to you.
12. Limitation of liability
To the fullest extent permitted by law, WaxStak will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill, arising from your use of the portal.
WaxStak’s total liability arising out of or relating to the portal will not exceed one hundred US dollars (US$100).
For the avoidance of doubt, this section does not limit any claim you have against the business for the services they provided you. That is between you and them, and these terms do not affect it.
13. Indemnity
You agree to indemnify WaxStak against claims arising from your misuse of the portal, your breach of these terms, or content you submitted that breaches section 6.
14. Privacy
What the portal holds about you and what is done with it is described in the Customer Portal Privacy Notice. In short: your records belong to the business, WaxStak processes them on that business’s instructions, and your information is never sold.
15. Changes to these terms
We may update these terms. When we do we will revise the date at the top, and significant changes will be posted on this page. Continuing to use the portal after a change means you accept the updated terms.
16. Governing law
These terms are governed by the laws of the State of Delaware, without regard to its conflict-of-law provisions, except where the law of the place you live requires otherwise.

17. General
If any provision of these terms is found unenforceable, the rest remain in force. Our failure to enforce a provision is not a waiver of it. These terms are between you and WaxStak and do not create rights for anyone else, except that the business you booked with may rely on sections 1, 6 and 8.
