How much do payment processing fees really cost a detailer? Card vs debit vs ACH, with the math

Processing fees are the cost nobody adds up. They come out before the money lands, they’re a percentage that sounds small, and no statement ever shows the yearly total. Here’s that total, with real rates.

The three rates you’re actually paying

A processor quotes one headline rate. A detailing business pays at least three:

  • Card-present — tapped or dipped on site. The lowest credit rate. Wax Stak: 2.9% + $0.30 on Starter, 2.75% on Pro, 2.65% on Business (each + $0.30).
  • Card-on-file — a saved card, a payment link or a booking deposit. Higher, because the card isn’t physically there. Wax Stak: 3.2% + $0.30 on Starter and Pro, 3.05% + $0.30 on Business.
  • Debit — most processors charge it at the credit rate. Wax Stak prices it separately: 2.5% + $0.30 on Starter, 2.2% on Pro, 2.0% on Business.
  • ACH (bank transfer) — 1.0%, $0.50 minimum, every plan. Slower to settle, much cheaper on a big ticket.

Notice which one you pay most. A mobile detailer with regulars and booking deposits pays the card-on-file rate far more often than card-present — and that’s the rate most comparisons leave out.

One $200 detail, four ways

A $200 interior-and-exterior on the Pro plan:

  • Credit, card-present at 2.75% + $0.30 → $5.80
  • Credit, card-on-file at 3.2% + $0.30 → $6.70
  • Debit at 2.2% + $0.30 → $4.70
  • ACH at 1.0% → $2.00

Nobody changes software over $2. The point is that $2 is multiplied by every job you do.

A year of jobs: $100,000 in 500 details

Say you do 500 jobs at an average of $200 — $100,000 through the system. The fixed part is 500 × $0.30 = $150 on any card rate. The percentage is where the money is:

  • All card-on-file at 3.2%: $3,200 + $150 = $3,350
  • All card-present at 2.75%: $2,750 + $150 = $2,900
  • All debit at 2.2%: $2,200 + $150 = $2,350
  • All ACH at 1.0%: $1,000

Steering half your customers from card-on-file to debit saves about $500 a year — roughly the whole Pro subscription ($264 billed annually). Moving your fleet or dealership accounts to ACH is worth more again.

On Business, debit drops to 2.0% ($2,150 for the same year) and card-present credit to 2.65% ($2,800). At $100,000 of debit volume the lower rate alone ($200) covers the $180 a year between the two plans.

Why a debit discount exists, and why most platforms keep it

Debit costs the processor less than credit — US debit interchange is regulated, credit isn’t. Most software platforms charge one blended rate anyway and pocket the difference. Wax Stak publishes a separate, lower debit rate on every plan.

You can’t make a customer pick debit, but you can make it the easy default: the pay page offers it, saved cards remember it, and a $2-a-job difference is a conversation you have once with a regular.

The fees that aren’t on the rate card

Rates aren’t the whole bill. For any processor, also check:

  • Monthly or gateway fees charged whether or not you process anything. Wax Stak has none.
  • Chargeback fees when a customer disputes a charge. Before-and-after photos on the job are what wins these — keep them.
  • Refunds — some processors keep the percentage on a refunded sale.
  • Payout timing — a rate 0.1% lower that settles a week later can cost you more in cash flow than it saves.

What to do with this

Take last year’s processed volume and multiply it by the rate you pay on regulars, not the headline rate. That number is what your software costs. Then pull three levers, in order: get walk-up customers on debit, get commercial accounts on ACH, and put everyone else on a saved card so the job at least gets paid the day it’s done.
